Stop stock loss by staff: a checklist for shop owners
· 4 min read
Most stock loss in small shops isn't dramatic. It's an item billed at the wrong price, a sale that never got billed, or a stock count that was "adjusted" without a reason. Good systems make mistakes and misuse visible, which protects your honest staff as much as your stock.
Give everyone their own login
Shared logins make it impossible to know who did what. Give each staff member their own account, and give each store its own store login. In ApnaKhatta, store logins don't count towards your staff limit.
Give only the permissions each person needs
A counter person usually needs only billing and product lookup. Set permissions one by one for each staff member, and remember that staff only ever see their own store.
Make every stock change leave a trail
Every change to stock should record who made it, when and why. Review adjustments weekly. A pattern of "damaged" items from one person or one shift is worth a conversation.
Don't allow bills that break stock
If an item shows zero stock but someone is billing it, something is wrong: either stock wasn't received properly or it's being sold off the books. ApnaKhatta stops the whole bill if any item is out of stock, so these gaps surface immediately.
Watch the activity log
The activity log shows who created, edited or deleted what, and when. Deletions and edits to products are the first things to check.
Act quickly when you need to
When someone leaves, block their account the same day. Blocked users lose access instantly, on every device.
